This position independently, accurately, and efficiently is responsible for daily administrative tasks and operational functions of the Development Department, which include answering the phone, providing assistance and information, processing PO's and invoices, data entry, coordinating and assembling board and commission packets, maintaining files, providing customer service to internal and external customers, clerking for the Administrative Law Judge complaint docket, and processing Freedom of Information Act Requests.
Position performs other related duties and projects as assigned.
Job Duties:
Assists department staff with administrative and operational tasks necessary to service customers, research and analyze topics to complete projects, and meet department goals and initiatives.
Assists in coordination of permitting and licensing functions to meet targets (permit review turnaround, license renewal deadlines, etc.
).
Organizes and coordinates the completion of packets for various commission and board meetings.
Manages the publication and mailing of legal notices and various mailings.
Coordinates the department's Village Board agenda items and board packets.
Posts agendas, minutes and other information on the Village's website and Granicus document hosting system.
Provides exceptional customer services by responding to internal and external customers' requests for information and assistance through in-person, telephone, or email interactions.
Receives resident/business complaints and service requests, recommends and/or initiates appropriate action as required and performs follow-up to assure satisfactory resolution to the complaint or request.
Assists with the maintenance of the department records and information systems in accordance with Village policies and procedures.
Oversees the department's the document management and destruction program through record keeping, filing and organizational functions.
Manages the FOIA process to coordinate timely and comprehensive responses to FOIA requests and ensure all information released complies with state law.
Performs other tasks as assigned.
Qualifications:
Qualified candidates should have high school diploma or equivalent and have additional technical training, acquired on the job or through one year or less of technical or business school.
One to three years of experience working in an office environment is preferred.
Equivalent combination of education and experience will be considered.
The candidate must be able to comprehend Department procedures.
Successful candidate must be proficient in the use of standard office equipment, computers and relevant software programs as this position requires regularly performing data entry.
The candidate will have access to confidential and sensitive information and must have the ability to maintain strict confidentiality.
The candidate must have the ability to understand and follow both oral and written instructions, work independently with minimal supervision, multitask and prioritize workload.
The candidate must have the ability to perform basic arithmetic functions in order to receive payments and reconcile accounts.
The candidate must be able to problem-solve and use good judgment.
The candidate must be able to gather information and to communicate that information effectively.
Accuracy and attention to detail are required.
The candidate will interact regularly with the public on the telephone and at the counter and must be able to provide high quality customer service.
Schedule/ Work location:
This position is typically required to work during the hours Village Hall is open Monday-Friday, 8:
30 a.
m.
-4:
30 p.
m.
, based on operational needs, for a total of 40 hours per week.
As well as call back to provide support during Village emergencies, including weekends.
This position will be required to report onsite for all working hours.
Salary/ How to apply:
The starting salary is $63,697 DOQ, with excellent fringe benefit package.
This position is non-exempt under FLSA.
